QR codes for small business: practical uses and printing tips

4 min read · Updated October 2026

A QR code turns a long link or a set of details into something a customer can open with their phone camera. Used well, it removes typing and saves time on both sides.

Practical uses

  • WhatsApp chat: customers scan and start a chat with your business, optionally with a pre-filled message.
  • Wi-Fi access: guests join your network without asking for the password.
  • Contact card: put a vCard QR code on business cards or stands; scanning saves your details to their phone.
  • Website, menu or catalogue: link to your price list or product catalogue.
  • Reviews: link directly to your review page after a sale.
  • On invoices: link to your payment page or terms.

Printing tips so it always scans

  • Size: at least about 2 × 2 cm for short links, larger for long content or for scanning from a distance (posters).
  • Contrast: dark code on a light background. Light-on-dark codes fail in many scanner apps.
  • Quiet zone: keep a blank border around the code.
  • Keep content short: shorter content means bigger, easier-to-scan squares.
  • Logos: use high error correction and test-scan with several phones.
  • Use SVG for print so the code stays sharp at any size.

Static vs dynamic QR codes

A static code contains the information directly. It never expires and nothing is tracked, but it can't be changed after printing. A dynamic code points to a redirect service you can update later, but it stops working if that service ends or the subscription lapses, and scans can be tracked. DocNova's QR code generator creates static codes.

Testing before you print

Before printing hundreds of flyers or labels, print one copy at the final size and scan it with at least two different phones, including an older one. Check that the code opens the right page or action, then scan it again from the distance customers will actually be standing at. Most problems (too small, too little contrast, too much content) are obvious at this stage and cheap to fix.

Content ideas by business type

  • Shops and wholesalers: WhatsApp ordering, product catalogue, delivery tracking page.
  • Restaurants and cafés: menu, Wi-Fi, review page.
  • Service businesses: booking page, contact card on vans and business cards.
  • Events: programme, location map, feedback form.

Security tip

Customers increasingly know that QR codes can be swapped for scam links. Print your business name next to the code and tell people what it opens, for example "Scan to chat with us on WhatsApp". In public places, check now and then that no one has stuck a different code over yours.
