How to sign a PDF without printing it
Printing a document, signing it and scanning it back is slow. For many everyday documents you can add your signature directly to the PDF in a minute.
Signing in three steps
- Open the Sign PDF tool and choose your PDF. It stays on your device.
- Type your name (any language works) or draw your signature with a mouse, finger or stylus.
- Click the page where the signature belongs, adjust the size, then download the signed copy.
Visible signature vs certified digital signature
A visible signature is an image of your signature placed on the page, like signing on paper. It is widely used for everyday agreements, forms and approvals.
A certified digital signature uses a cryptographic certificate to prove who signed and that the document hasn't changed since. Some contracts, government filings and regulated industries require this type, and it needs a certificate from a trusted provider.
If you're unsure which one a document needs, ask the person or organisation requesting it. DocNova adds visible signatures; it does not create certified digital signatures.
Filling in forms
If the PDF has fillable fields, the Fill PDF form tool lets you complete text boxes, checkboxes and drop-downs and add your signature in one go.
Tips for a professional-looking signature
- Draw your signature slowly with a stylus or your finger on a phone. It usually looks more natural than with a mouse.
- Keep the size realistic, roughly as wide as a handwritten signature (about a quarter to a third of the page width).
- Place it on or just above the signature line, and add the date if the document asks for it.
- Use dark blue or black ink colour, as you would on paper.
Keeping your documents private
Many online signing tools upload your document to their servers. Contracts, IDs and financial forms often contain personal data, so it is worth knowing where your file goes. DocNova signs PDFs in your browser: the file is not uploaded.
After signing
Open the downloaded file and check every page before sending it. Keep a copy of the signed version for your records, and if the other party also needs to sign, send them the signed PDF so both signatures end up on the same document.
