How to make an invoice: a step-by-step guide

5 min read · Updated October 2026

If you've just started freelancing or running a small business, your first invoice can feel surprisingly confusing. It doesn't need to be. Follow these steps and you'll have a clear, professional invoice your customer can pay without questions.

Step 1: Collect the details

Before you start, gather your business name and address, any tax or company registration numbers, your customer's name and billing address, what you supplied (with quantities and prices), and how you want to be paid.

Step 2: Choose an invoice number and dates

Give the invoice a unique number in a sequence, such as INV-0001, and use the next number every time. Add the issue date and the date payment is due. If you agreed "30 days", write the actual date, for example 14 November, so there's no doubt.

Step 3: List what you're charging for

Write one line per product or service: a clear description, the quantity or hours, the unit price and the line total. "Website design, 5 pages" is far better than "Services". Clear lines get approved and paid faster.

Step 4: Add discounts and tax

Show any discount, then the subtotal. If you're registered for VAT, GST or sales tax, add the tax at the correct rate and show it separately. If you're not registered, don't charge tax. Ask an accountant if you're unsure which rules apply to you.

Step 5: Explain how to pay

Add your bank details or payment link and a reference for the customer to quote, usually the invoice number. If they paid a deposit, show it and the balance still due.

Step 6: Check, save as PDF and send

Read it once more: names, amounts, dates, bank details. Then save it as a PDF, which looks the same on every device and can't be edited by accident, and email it with a short, polite message.

Do it the quick way

The free DocNova invoice generator walks you through each step, calculates totals and tax exactly, shows a live preview and saves a clean A4 PDF. Nothing is uploaded, and there's no sign-up. For your next invoice, click "Next document" and your details are kept with the number moved on automatically.

Common beginner mistakes

  • Forgetting the due date, so customers pay "whenever".
  • Reusing invoice numbers or deleting wrong invoices; issue a credit note instead.
  • Charging tax when you're not registered, or using the wrong rate.
  • Sending an editable document instead of a PDF.
